Client Service Associate

Join the team at Heritage Retirement Advisors on a flexible, part-time basis! We help clients navigate their journey to a worry-free retirement, and we need an organized, friendly Client Service Associate to help keep the gears turning smoothly. This role is perfect for someone looking to provide consistent administrative, client service, and operational support handling everything from scheduling meetings and prepping client materials to processing paperwork and ensuring our records stay compliant. You will be responsible for ensuring the smooth operation of our office by managing core client facing tasks and sharing the following operational duties with our Office Assistant.

Your Role

  • Client Relationship Management: Set appointments, prepare meeting materials, and act as the primary point of contact for all service requests and inquiries.
  • Service & Follow-up: Track, execute, and follow up on all client service requests (e.g., beneficiary changes, address updates) until completion.
  • Prospecting Support: Review lead lists, conduct outbound calls/emails to prospects, follow up on referrals, and schedule new client appointments.
  • Case Preparation: Run annuity/life insurance illustrations, gather client financial data, and coordinate with carriers for product information.
  • New Business Processing: Collect necessary information from clients and assist in the submission and tracking of all new business applications.
  • Team & Office Coordination: Manage Advisor’s calendar/email, input and assign tasks in the CRM (e.g., Redtail), and handle general office administration (mail, phones, filing, organization).
  • Compliance & Documentation: Ensure all client interactions, notes, and suitability reviews are accurately and promptly logged in the CRM to maintain compliance standards.

Qualifications

  • 1 + years in the Financial Services industry
  • College Degree or equivalent experience
  • Strong computer skills and knowledge of Microsoft Office products, Office 365
  • Redtail, Orion experience a plus
  • Excellent math skills, and comfortable working with numbers for extended periods
  • Exceptional verbal communication and writing skills
  • Advanced interpersonal and client service skills
  • Detail orientated with superior organizational skills
  • Team player with strong collaboration skills

Compensation: We offer an hourly rate determined by your experience.
Location: Onsite, 11440 West Bernardo Court, Suite 390 San Diego, CA 92127
Schedule: Part Time, 20 Hours per Week, Tuesday – Thursday 5.5 Hours, Friday 4 Hours
